How we look after your information.

What personal information retain.solutions collects, why we collect it, who helps us handle it, and what you can ask us to do with it.

Who we are

retain.solutions ("we", "us") is responsible for the personal information described on this page. For anything to do with your information, email hello@retain.solutions.

What we collect

  • Pilot sign-up form. Your name, practice, email and city, and, if you choose, the kind of projects you work on.
  • Feedback form. Your comment, and only if you choose to add them, your role, name and email. You can leave feedback anonymously.
  • Pilot project details. If you're in the pilot, the information you send us to prepare a comparison, such as the address, age, construction and condition of a home, your client's goals, budget and reasons in their own words, and what happened on the project later. Please only send what's needed, and don't send your clients' contact details.
  • Analytics cookies. Only if you accept them, Google Analytics collects information about how the site is used, such as the pages visited, approximate location (city or region), device and browser type, and how you arrived. We use it to understand the site, not to identify you.
  • Email. When you email us, we keep your email address, your message and anything you attach.

Your clients' information

Pilot projects are about real homes and real households, so we hold them to these standards:

  • Only what's needed. We ask about the house, the site and what your client wants. We don't need your client's name or contact details, so please don't send them.
  • Used for the comparison. We use project details to prepare your comparison and, combined across projects, to improve our benchmarks. Benchmarks use figures only and never identify a home or a household.
  • No street numbers. The street number never appears on a report or anywhere public.
  • Public only with permission. A pilot project only appears as a public example with the practice's written permission, with the street number removed, and the client's own words only if they agree.
  • Never shared or sold. Project details stay with us and the providers listed below.
  • Deleted on request. Ask us at any time and we'll delete a project's details. Otherwise we keep them as set out under "How long we keep it".
  • Your client's OK. Before sending us a project, please make sure your client is happy for its details to be shared with us for this purpose.

Why we collect it, and the legal basis

  • To run the pilot: to contact you, prepare your comparisons and follow up on how they went. We rely on taking steps you've asked for, and on our legitimate interest in running and improving the pilot.
  • To read and reply to feedback and email: we rely on our legitimate interest in improving retain.solutions and answering you.
  • For analytics: to see which pages are useful and improve the site. We rely on your consent, which you can withdraw at any time in .

We only collect what we reasonably need for these purposes, and we only use it for them, or where the law allows. We don't sell personal information, and we don't use it for advertising.

How long we keep it

  • Pilot sign-ups and project details: for the length of the pilot and up to two years after it, so we can follow up on real outcomes, unless you ask us to delete them sooner.
  • Feedback: for as long as it helps us improve retain.solutions. We'll remove your name and email whenever you ask.
  • Email: up to two years after our last contact, unless we need to keep it longer for legal or accounting reasons.
  • Analytics: Google Analytics keeps this data for 14 months, then deletes it.
  • Your cookie choice: kept in your own browser until you change it or clear your browsing data.

Who processes it for us

We use a small number of providers, who handle information on our behalf under their own data processing terms:

  • Netlify hosts this website and stores form submissions.
  • Google Analytics (Google) measures how the site is used, only if you accept analytics cookies.
  • Microsoft 365 (Microsoft) handles our email.
  • Gmail (Google) receives copies of form notifications from Netlify.
  • Google Fonts (Google) delivers the site's typefaces, so it receives your IP address when a page loads.

We don't share personal information with anyone else unless the law requires it.

International transfers

retain.solutions is run from Denmark, in the European Union, and works with architects and building designers in Australia. Our providers may store and process information in the United States, Australia and other countries. Where information leaves the European Economic Area, we rely on the safeguards our providers offer, such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses. If you're in Australia, this means your information may be held overseas by these providers, under these terms.

Your rights

Under the EU General Data Protection Regulation (GDPR) and the Australian Privacy Act 1988, you can:

  • ask for a copy of the personal information we hold about you
  • ask us to correct it if it's wrong or out of date
  • ask us to delete it
  • object to, or ask us to limit, how we use it, and under the GDPR, ask for it in a portable format
  • withdraw your consent to analytics at any time

To do any of these, email hello@retain.solutions. We'll reply within 30 days.

If you have a complaint, please tell us first so we can put it right. If you're not satisfied, you can complain to the Danish Data Protection Agency (Datatilsynet) or the data protection authority where you live in the EU, or, in Australia, to the Office of the Australian Information Commissioner (OAIC).

Cookies

This site doesn't set any cookies unless you choose to allow analytics.

  • Your cookie choice. We remember whether you accepted or declined in your browser's local storage, so we don't ask on every page. It stays on your device and isn't sent to us.
  • Analytics cookies (only with your consent). Google Analytics sets cookies named _ga and _ga_<ID> to tell visits apart. They last up to two years.

We use Google Consent Mode, and Google Analytics doesn't load at all until you press "Yes, please". You can change your mind at any time in , also linked at the bottom of every page.
